Personal data processing notice

Information submitted in the form (name, email, organisation, position, optional phone, registration category and language), registration status, communication history and QR-ticket check-in records are used to process applications and organise the Radom of the Future Congress on 21 November 2026.

Legal bases subject to final confirmation: GDPR Art. 6(1)(b) (participation-related contractual steps, where applicable) or Art. 6(1)(f) (legitimate interests in organising the event); Art. 6(1)(c) where legal obligations apply. Email marketing is based on separate, freely given consent (GDPR Art. 6(1)(a) and applicable electronic communications rules).

Data may be processed by hosting, database, email and technical support providers only as necessary for the event. Cloud services may involve transfers outside the EEA; safeguards and recipients must be confirmed before publication. Sponsor reports contain aggregate statistics, not personal data.

Retention periods must be defined and approved before registration opens, separately for applications, check-in logs, audit trails and marketing consents. Marketing processing must cease following withdrawal; minimal suppression records may be retained where necessary.

You may request access, rectification, erasure and restriction, and portability where applicable; object to legitimate-interest processing; withdraw marketing consent at any time without affecting prior lawful processing; and lodge a complaint with the Polish data protection authority (UODO). Participation requires organiser approval; no solely automated decisions under GDPR Art. 22 are made.

Participation terms — draft

The Radom of the Future Congress is organised by Grupa Europejskich Konserwatystów i Reformatorów (ECR Group), at the address above. The event will take place on 21 November 2026 at the Aviator Hotel in Radom.

Registration is made via the online form. Submission is an application, not a guarantee of admission. The organiser may approve, decline or waitlist applications subject to available places (operational capacity: 250).

Approved participants will receive further instructions and an individual QR ticket. The ticket is used to record entry and should not be shared. For a lost ticket or changes to personal details, contact the Congress office.

Participants must follow venue safety rules and staff instructions. The organiser may make reasonable programme changes and will communicate material changes using the registration contact details. Detailed participation, accessibility, photography and filming conditions require approval before publication.
